Letter of Employment

T4, T4A, NOA, SOA, T1, T2 (Tax Documents)

Paystub / Pay Statement

The letter of employment should be recent (less than 30 days old), and helps certify you’re employed where you say you work.

Tips Make sure the letter is written on your company’s letterhead and contains the following information:

  1. Start date
  2. Position within the company
  3. How are you paid
  4. How much are you paid
  5. Contact information for your employer
  6. If you are full-time permanent or contract
  7. Indicate if you are on probation, maternal/paternal leave, disability, or workers’ compensation and include your return to work date if applicable.

How do I get this? This letter should come from your employer. Contact your supervisor or HR department.

Paystub / Pay Statement

The pay stub should be your most recent (within the last 30 days), and is provided by your employer for every pay cheque they give you.

Tips Make sure the pay stub includes year to date figures, current deductions, and year to date deductions.

How do I get this? If your employer has a web portal, it may contain records of your pay history. Alternatively, you can contact your supervisor or HR department.

Your Tax Documents are mailed to you by the CRA (Canada Revenue Agency) each year after you file your taxes.

How do I get this? You likely have this information on file. If not, please visit the Government of Canada’s MyCRA to download or order a copy of the tax documents we have requested. If you have an accountant, they might also have this info and you should be able to reach out to them directly to get it.

Bank statements can be requested for a number of reasons: they help prove your pay by showing paychecks are being deposited into your bank account, show CPP and OAS deposits, show condo fees, confirm supporting deposits, and / or verify down payments.

Tips:

Make sure the bank statement(s) show your name, account number and a full / unaltered transaction history. If the down payment is in multiple accounts, or has been transferred from one account to another, bank statements are required for all included accounts.

How do I get this?

Log in to your online banking portal and download a PDF of your bank statement for the appropriate time period.

Tutorial:

Step 1 – Go to the sign in page

  • Go to Scotia OnLine, enter your card number or username, password and then click “sign in”.

Step 2 – Select online statements

  • On the account summary page, click the settings ⚙️ wheel and select “Online Statements” from the dropdown menu.

Step 3 – Select bank account

  • Select the account and month that you would like to view an e-statement for. Note: A PDF reader is required, in order to view your statements. If you don’t have one installed, please downlaod Adobe Acrobat Reader, before you proceed.

Step 4 – Enable pop-ups on Scotia OnLine

  • Most modern web browsers have a pop-up window blocker built in. If your e-statement does not appear, you will have to choose to “always allow” pop-ups from Scotia OnLine and then select the month again.

Step 5 – View and download your statement

  • In the pop-up window, you can now view your e-statement for the month selected. If you would like to download and save to your computer, just click the arrow icon and save the file to your preferred location.

How do I get this?

Log in to your online banking portal and download a PDF of your bank statement for the appropriate time period.

Tutorial:

Step 1 –Go to the Statements & Documents page

  • To access your online statements first go to the Accounts page. From the left menu, select Statements & Documents.

Step 2 – Statements for a specific account

  • To view all your available statements for a specific account, use the Get statements & documents by account dropdown menu to make a selection

Step 3 – Refine your results

  • For the period you wish to view, make a selection using the Filter by year dropdown.
  • To open a specific month simply click the month 

Step 4 – Download Required Statements

  • You’ll see your statement, as a PDF file, appear within an overlay that will open.If you don’t already have a PDF viewer installed on your computer, download Adobe Reader.  Don’t forget, you can also save and print your statements for your convenience.

Void Cheque / PAD (Pre-Authorized Debit Form)

Property Tax Statement

Property tax is calculated and billed using the property’s assessed value. Your property tax certificate will show what is owed on your property taxes and how much was charged. Please provide certificates/statements for all current properties you are on title/mortgage to.

Tips This document will outline the assessment details of your property and also how much property tax you need to pay for each respective year.

How do I get this? This document is sent every year by your municipality. If you lost track of it, you can typically sign in to your city’s website and download it from there or call the city and request your property tax statement.

The void cheque is a cheque marked VOID, or via your online banking portal, you will be able to provide a pre-authorized debit agreement.

Tips This void cheque should be for the account from which you want your mortgage payments to be drawn.

To access your company’s Articles of Incorporation through your myCRA (Canada Revenue Agency) account, you’ll need to follow these general steps:

Step 1 – Log in to your myCRA Account:

  • Visit the Canada Revenue Agency website (https://www.canada.ca/en/revenue-agency.html) and log in to your myCRA account using your credentials. If you don’t have an account, you’ll need to create one first.

Step 2 – Access “Business Number” (BN) Services:

  • Once you are logged in, navigate to the “Business Number” (BN) services section. This is where you can access various details related to your business, including the Articles of Incorporation.

Step 3 – Verify Your Identity:

  • To access sensitive business information, including the Articles of Incorporation, you may need to verify your identity as an authorized representative of the company. Follow the verification process as required by myCRA.

Step 4 – Access Business Information:

  • In the “Business Number” (BN) services section, you should find details about your company, such as the business name, address, and status of your corporation.

Step 5 – Download the Articles of Incorporation:

  • If the Articles of Incorporation are available through the myCRA portal, there should be an option to download or view the document. Click on the appropriate link to download the PDF file.

Step 6 – Verify and Save the Document:

  • After downloading the Articles of Incorporation, verify that it is the correct document for your company. Save it to a secure location on your computer or a cloud storage service for future reference.
